Financial Proposal for Gala Income

The China Trip Committee proposes the following formula as a framework for using the existing China Trip Fund, and for allocating future Gala income, starting with the 2006 Gala:

1. The existing China Trip Fund (about $26,000) will be set aside as a China Trip Reserve and Scholarship Fund. The Fund will be replenished each year from the Gala, from unused individual class funds, and through earned interest. The Reserve Fund will be used in this way:
   
   
   • Each class can use Reserve Fund money to make up gaps between their individual class trip fund and the amount that parents must pay
   • Scholarships for students / families who apply for financial assistance
2. The annual Gala income will be distributed as follows.

   ** Staring with the 2008 Gala. This lump sum from the 2006 and 2007 Galas will go to the current 6-8th grade blend class. All unused travel funds from an individual class revert to the Reserve Fund.

   Tentative Planning Timeline
   February 7, 2006	Shu Ren General Meeting, 6:00 p.m., Woodstock School cafeteria PPS Immersion Coordinator Michael Bacon will update parents on the K-16 Flagship Grant and plans for a China trip / Research Residency. Opportunity to discuss the Shu Ren financial proposal.
   March 4, 2006	Shu Ren Gala / Auction
   March - May 2006	PPS staff begins establishing relationships in China and locations for visits & tentative itinerary, and collecting related curriculum
   June - August 2006	MIP teachers who are in China for training also explore trip locations and opportunities
   September 06 - May 07	Trip planning as needed
   March 2007	Shu Ren Gala
   May - June 2007	Introduce trip / Research Residency to 7th grade families, student committees form, plan for summer fundraisers (as needed)
   June - August 2007	Final curriculum and itinerary planning, PPS staff travel to China to coordinate itinerary w/National Security Education Program (Flagship grant) staff in China
   September 2007	8th grade student committees begin planning the research project, family meeting to outline trip details and deadlines, first family deposits due
   December 2007	2nd family deposits due, chaperones selected
   April 2008	Final deadlines for all pre-travel requirements, 3rd family deposits due
   March 2008	Shu Ren Gala
   May 2008	Two-week 8th grade trip / Research Residency
   May - June 2008	Introduce trip / Research Residency to 7th grade families, student committees form, plan for summer fundraisers (as needed)
   June 2008	8th grade Capstone Presentations
